PROTECTING YOUR PRIVACY

Your rights under General Data Protection Regulation (GDPR):

Data we collect

  • Synthesis Inc Ltd. collects personal/business data submitted via contact forms throughout the website.

  • We may also request and use personal / business data for invoicing purposes, booking information, contracts, end of year accounting / financial records and correspondence relating to the above.

  • We also will request relevant information pertaining to the work assignment, such as documents, filings, names, glossaries, statements etc.

Use of your data

  • Personal / business data collected via website contact forms are private and secure, and will not be shared with any external parties.

  • Your personal / business data may be required for financial and accounting purposes; to draw up contractual agreements for work; for repeat business, and for transcription performance and delivery purposes.

  • Relevant data to the work assignment will be used to create job dictionaries and glossaries in order to ensure accurate transcription.

Data sharing

  • Website contact form data will not be shared with any external parties.

  • Financial data will be shared with Synthesis’ accountancy firm for the purpose of record keeping and end of year accounts. 

  • Only relevant job information will be shared with co-workers assisting with transcription finalisation and delivery.

Data storage

  • Synthesis Inc Ltd. financial records are required to be kept for six years. 

  • Job dictionaries are retained for related repeat work on an encrypted drive.

  • All transcription related data supplied by clients via their chosen platform will only be kept for the duration of the job, unless otherwise requested.

  • Transcripts and audio recordings will be retained for 12 months by Synthesis Inc Ltd. only.

Under the legislation (GDPR and The Data Protection Act 2018), you have rights in relation to your personal data, with some exceptions. These include the right to:

Your Rights

  • Be informed about how your data is being used;

  • Access personal data;

  • Have incorrect data updated;

  • Have data erased;

  • Stop or restrict the processing of your data;

  • Data portability (allowing you to get & reuse your data for different services);

  • Object to how your data is processed in certain circumstances.

You also have rights when an organisation is using your personal data for:

  • Automated decision-making processes (without human involvement).

  • Profiling (for example, to predict your behaviour or interests).
